Studio Rental Terms & Conditions

1. Introduction & Agreement

Welcome to Chroma Canvas Studios LLC ("we," "us," "our"). We provide professional photography and videography studio spaces, equipment, and related services for rent. These Terms & Conditions ("Terms") form a legally binding agreement between you ("the Client," "you," "your") and Chroma Canvas Studios. These Terms govern your use of our website (the "Site"), our booking services, and the rental and use of our studio facilities and equipment. By paying a rental deposit, you acknowledge that you have read, understood, and agree to be bound by these Terms and our associated Studio Rules.

2. Eligibility & Authority

To rent a studio from Chroma Canvas, you must be at least 18 years of age and possess the legal authority to enter into a binding contract on behalf of yourself, your company, and all persons who will be present at the studio during your rental period (your "invitees," "crew," or "clients"). You affirm that all information provided to us during the booking process is true, accurate, and complete.

3. Client Responsibilities & Studio Use

The Client is responsible for the conduct of all individuals present during the rental period. The studio must be used for lawful purposes only and in a professional manner. The Client agrees to leave the studio and all equipment in the same condition as it was found. Any damage to the studio premises, equipment, or furniture caused by the Client or their invitees will be billed to the Client. A walkthrough inspection may be conducted with our studio manager before and after the rental.

The rental period begins at the confirmed start time and ends at the confirmed end time; this period must include all setup and breakdown/cleanup. Overtime will be charged in accordance with Section 6. The Client agrees to adhere to the maximum capacity of the rented studio. Smoking, vaping, open flames (without express prior written consent and appropriate permits), and illegal substances are strictly prohibited on the premises.

4. Booking, Confirmation, and 'Pencil Holds'

All rental quotes provided to you before a deposit is paid are proposals and do not guarantee availability. A "pencil hold" is a temporary, no-obligation reservation. If another client wishes to book the same time slot (a "challenge"), we will notify you and provide a 24-hour window to confirm your booking with a deposit. If you do not confirm within this window, the hold will be released. A booking is considered "Confirmed" only when the required deposit has been paid by you and you have received a formal booking confirmation email and invoice from Chroma Canvas Studios.

5. Fees, Payment, and Invoicing

All prices are quoted in US Dollars ($) unless otherwise specified. A non-refundable deposit of 50% of the total rental cost is required to confirm a booking. The final balance is due on or before the rental date. For rentals exceeding $5,000 or for multi-day lockouts, the final balance is due no later than 72 hours prior to the rental start time. Failure to pay the final balance by the due date may result in the cancellation of your booking, and the deposit will be forfeited.

6. Overtime Policy

If the Client's rental extends beyond the confirmed end time, overtime will be billed in 30-minute increments at a rate of 1.5 times the standard pro-rated hourly rate for the studio. Overtime is not guaranteed and is subject to studio availability. The Client must receive approval from the on-site studio manager before entering an overtime period.

7. Cancellation, Refunds, and Rescheduling Policy

All cancellation and rescheduling requests must be made in writing via email. The following policy applies based on the date we receive your written notification:

These fees are due to the commitments we make and the business lost from turning away other potential clients. We strongly advise all productions to carry their own insurance to cover such events.

8. Insurance Requirements

For most commercial rentals, the Client is required to provide a Certificate of Insurance (COI) prior to the rental date. This COI must list "Chroma Canvas Studios LLC" as "Additionally Insured" and "Loss Payee," and must provide coverage for General Liability with a minimum limit of $1,000,000, as well as coverage for rented equipment. Failure to provide a valid COI may result in the cancellation of the booking. For smaller rentals, an optional in-house insurance waiver may be available for a fee; please inquire with management.

9. Limitation of Liability & Indemnification

The use of our studio and equipment is at the Client's own risk. Chroma Canvas Studios LLC is not liable for any personal injury, property damage, loss, or other damages occurring to the Client or their invitees, or to their property, during the rental period. Our liability is strictly limited to the total rental fee you have paid to us. The Client agrees to indemnify and hold harmless Chroma Canvas Studios LLC, its owners, and its employees from any and all claims, liabilities, damages, and expenses arising from the Client's use of the premises and equipment. We are not responsible for events of Force Majeure, including but not limited to acts of God, power outages, natural disasters, or other circumstances beyond our reasonable control.

10. Applicable Law & Jurisdiction

These Terms are governed by and construed in accordance with the laws of the State in which Chroma Canvas Studios LLC is registered. In the event of any dispute arising from these Terms or our services, the courts of said state and county shall have exclusive jurisdiction.

11. Policy Updates

We reserve the right to update or modify these Terms & Conditions at any time without prior notice. The revised Terms will be posted on our Site, and the "Last Updated" date will be amended. The terms in effect at the time of your booking confirmation will apply to your rental.
