What is the fundamental 'why' behind this shoot? Go beyond simply "I need a white background." Do you have a detailed mood board? Are you aiming for a high-key, vibrant commercial look, a dramatic, shadowy low-key portrait, or a soft, organic, naturally-lit lifestyle feel? Are there specific reference images or film scenes that inspire you? Sharing this creative context allows our team to recommend the perfect studio and foundational lighting approach to match your aesthetic goals and bring your vision to life in the most effective way possible.
2. Outline the Technical Framework
Think about the practical, technical elements that will shape your production day. How many people will be on set in total (including talent, crew, and clients)? This is critical for determining the required studio size and ensuring comfort. What are the key pieces of equipment you will need? Will you require our large cyclorama wall, specific lighting systems (strobe vs. continuous), or extensive grip and rigging? Do you have video-specific needs like sound treatment or a green screen? Will you require any of our add-on services, such as a pre-lit cyclorama, a digital tech station, catering, or a dedicated makeup and wardrobe area with steamers? Knowing these logistical needs allows us to provide an accurate, comprehensive quote that covers all aspects of your production, preventing any last-minute surprises or delays.
Your Pre-Booking Questions Answered
A 'pencil hold' is a common industry practice. It's a no-obligation, temporary reservation of a studio for your desired date, allowing you to plan without financial commitment. However, a pencil hold is not a guarantee. If another client wishes to book and pay for the same time slot (a 'challenge'), we will contact you immediately and give you the first right of refusal, which typically requires a decision and deposit within 24 hours. A 'confirmed booking' is one that is secured by a paid 50% deposit and a signed rental agreement. At that point, the time is exclusively and definitively yours.
To officially confirm and secure a studio booking, we require a 50% non-refundable deposit of the total rental fee, along with a digitally signed copy of our studio rental agreement. The remaining 50% balance is due on or before the day of your shoot. We accept all major credit cards, bank transfers, and certified checks. For larger productions or multi-day lockouts with extensive equipment rentals, we can arrange for alternative invoicing schedules to better suit your production's accounting workflow. Your booking is not considered confirmed until both the deposit and signed agreement are received by our office.
Absolutely, and we highly encourage it. We believe that seeing the space in person is the best way to ensure it's the perfect fit for your project's creative and technical requirements. Please contact us via the form or email to schedule a visit for you and your team (DP, gaffer, etc.). Tours are typically 15-30 minutes and are always scheduled subject to studio availability, as we strictly respect the privacy of our booked clients and cannot interrupt a session. We will always do our best to find a convenient time that works for your pre-production schedule.
While our in-house equipment inventory is extensive and modern, we understand that some productions have highly specific or unique needs (e.g., anamorphic cinema lenses, a specific motion control rig, etc.). We have strong, long-standing relationships with all major professional rental houses in the city. We can seamlessly facilitate any sub-rentals on your behalf. We will handle the coordination, pickup, and return, and have the gear ready for you at the studio upon your arrival. This service can be consolidated into your main invoice for your convenience, saving you valuable time and logistical headaches.
Your booking time is inclusive of your setup and breakdown. We understand that creative work can sometimes take longer than planned. If your session extends beyond your confirmed booking period, overtime will be billed in 30-minute increments. The overtime rate is calculated at 1.5 times the standard pro-rated hourly rate of your rental. We kindly ask that you give the on-site studio manager as much notice as possible if you anticipate needing overtime, as it is always subject to studio availability and is not guaranteed if another client's booking immediately follows yours.
For most commercial productions, especially those involving large crews, extensive gear rentals, or high-value products, a Certificate of Insurance (COI) is mandatory. The COI must name 'Chroma Canvas Studios LLC' as 'Additionally Insured' and cover a minimum of $1,000,000 in general liability. This is a standard industry practice that protects you, your client, your crew, and our facility. For smaller, self-funded projects or simple portrait sessions, we may offer an option to purchase temporary in-house insurance coverage for a small fee. Please discuss your specific situation with our studio manager during the booking process.
We offer a private parking lot with 10 complimentary spaces, available on a first-come, first-served basis for our clients. For larger productions, there is ample metered street parking on the surrounding blocks. For efficient equipment handling, we have a designated 15-minute loading zone directly in front of our ground-floor access door. This provides step-free access to our main studio entrance and freight elevator. We strictly ask that vehicles be moved to a permanent parking spot immediately after unloading to keep this crucial zone clear for other clients and deliveries.
Our cancellation policy is designed to be fair while allowing us to manage our studio calendar effectively. All cancellations must be submitted in writing via email. For cancellations made with more than 7 days' notice before the shoot date, you may apply your full 50% deposit as a credit towards a future booking (to be used within 6 months). For cancellations made between 3 and 7 days (72-168 hours) of notice, you may apply half of your deposit (25% of the total booking) as a credit. For cancellations made with less than 72 hours' notice, the entire deposit is forfeited. We recommend all productions carry their own production insurance to cover such unforeseen events.
